Once you have one or more ticketed events created, you'll need to know how to use the ticket calendar page. If you haven't created any events yet, you can visit this article to learn about the process of creating a ticketed event.
Ticket Calendar
Your calendar page should look something like this (minus the labels):
- Date Range- This controls which specific weeks you are looking at on the calendar page. It will always default to the current day when you arrive on the page. The range controls how many days will be shown at a time.
- Scan Tickets- This allows you to scan ticket QR codes. Each ticket sale has an optional QR code on the invoice or receipt, and you can scan those codes to redeem the tickets on an order.
- Restrict Availability- This allows a user to block out certain dates on the calendar, to prevent tickets from being purchased during that time.
- Resources- This allows users to add/manage resources for use with their ticketed events.
- Manage Events- This allows users to manage ticketed events that have already been created.
- Add Event- Allows a user to create a new ticketed event.
- Order Search- This bar allows users to search for a specific event by supplying the order number, customer name, or event name. Events pertaining to the search will be shown in the calendar.
- Filter by Event- This lets you filter specific events in the calendar view.
- Filter by Availability- The availability needed will only show active events with enough tickets available to satisfy the requested number. For example, if you set 10 as the availability needed, the ticket calendar will only show events with at least 10 tickets that could be sold.
Creating Ticket Orders
Each event on the ticket calendar page will have a name, a color associated with it, and each available time will be represented by a block with numbers. The numbers represent the available number of tickets that can be sold at this time. As customers purchase tickets, this number will decrease automatically.
To start a new order from this page, simply click on the block(s) that you wish to create an order for. You can select multiple time slots at once. Then, click Start New Order
A drawer should pop up with the selected times. Here, you can assign the quantity of tickets to be purchased at each time. Click Create Order when you're finished.
This will create the ticket order and add it to your calendar. You should see an arrow next to the event name(s) that you created an order for. Clicking this will expand the event and show the order(s) associated with the event. You can click on these order numbers to access the order. You should also see that the ticket block color has changed slightly, and the number of available tickets has decreased.
The Ticket Order
There are several options available on the ticket order window. More detailed information about these sections can be found in our Ticket Order article.
- Order Number- This is the order number in the system. When you click on the order number, a window will appear with options to change the order status, or mark an order as tax exempt.
- Receipt- Allows you to print a receipt of the ticket order. If you have Hardware Link installed, your receipt printer will print this receipt as well.
- Add Customer- This allows you to associate an order with a customer. If a customer purchased a ticket online, then they should already be associated with this order. You can also create new customers if needed.
- Activity Log- Logs the ticket order's creation as well as any changes made on the order.
- Notes- Allows you to make notes on an order and choose whether to show them on the invoice/email or not.
- Add Ticket- This option allows you to add additional tickets to this order. The drawer will close and you will be able to select new tickets from the calendar to be added to this order.
- Ticket Product- Like Point of Sale products, you can add notes to a ticket product, apply discounts, or change the price directly.
- Redemption Status- If this particular ticket can be redeemed, you can toggle the redemption status here. If the ticket does not have redemption enabled, it will say 'Issued' instead.
- Manage Tickets- This option will let you reassign tickets to a new time/date, and allow you to adjust the quantity of tickets.
- Addons- Additional items can be added to this order and managed like items in the point of sale.
At the bottom of each ticket order, you will also have the option to expand the balance due, issue a refund, view the payment history, and make a payment.
Clicking on the balance due will show a breakdown of prices on the order, and allow you to add a tip.
Refunds can only be made on open orders. If you wish to make a refund, make sure to mark the order as open first. After selecting the refund option, you'll be able to issue a custom refund amount, or choose the products that need to be refunded.
Choosing the history option will show a history of all payments made on the order.
The pay option will open a new window, similar to the point of sale payment window. The prices will be listed at the left side of the window, and you'll be able to select a payment method to take a payment, typically card or cash. After a payment is made, you'll have the option to print a receipt if a receipt printer is set up with your device.
Scan Tickets
The QR codes associated with each order can be scanned by any device that reads QR codes. This lets you quickly access a customer's order by scanning the QR code associated with their online order or receipt. The most recent scans for your facility will be listed as well.
You can also quickly manage ticket redemption from this window by redeeming tickets as they are scanned. Once an order is scanned, you can click 'Go to Order' to jump to it as well.
Restrict Availability
In the event that you need to block out certain days/times from the ticket calendar, you can use the Restrict Availability feature. First, use the ticket calendar to navigate to the day you wish to block out. Then, select Restrict Availability.
IMPORTANT: You MUST select the day you wish to block out on the general calendar. The Restrict Availability window will only block dates currently displayed on the calendar.
Select the event and times you wish to block out, and click Apply Restriction. A confirmation window will appear showing which events will be blocked after the restriction is applied. Existing orders on that day will not be affected.
Those times will be shown as locked and cannot be booked. Users can click on the locked events to remove the restriction if their user group has permissions to do so.
