What is a Triggered Email?
Triggered Emails are designed to work with Party Center Software's code and are sent to guests under specific conditions. Each triggered email has its own set of rules or conditions that must be true for the system to deliver the email. Once the triggered emails have been configured and fully enabled by our Support Team the emails will automatically be sent to guests every day.
Data Synchronization
Triggered emails require PCS data to work properly. Because of this, we synchronize customer, dependent, and order data which allows PCS Automations to operate automatically. We only send data in a single direction, PCS to PCS Automations. So if you make a change to a customer's date of birth in PCS we will update the corresponding data in the PCS Automations system. However, if you update customer data directly in the PCS Automations system, that will not be synchronized back to PCS.
Triggered Email Rules
- Party Rules Reminder - This email will go out to customers who have an Online Booking or In House Booking in the future. If you have any rules or general information you'd like your guests to have before a party, this is the place to put it. If you are using Waivers for your facility, you can also include a link to them in this email.
- Party Rules Reminder - This email is sent out 7* days prior to a party.
- Feedback Request - This email will go out to customers who had an Online Booking or In House Booking in the past. The default "number of days" setting for this trigger is 1 day after the party or event. When used in combination with Wix's Standalone Forms, this is an excellent way to gather feedback from your customers.
- Feedback Request - This email is sent out 1* day after a party.
- Upcoming Birthday Reminder - This email will go out to customers who have a dependent with an upcoming birthday (e.g. John will receive this email prior to John Jr.s Birthday). This is a great way to outreach to customers to encourage them to celebrate with you. You can even include a link to your Online Booking page in this email.
- Upcoming Birthday Reminder - This email is sent out 45* days prior to a dependent's birthday.
- Upcoming Birthday Reminder - This email is sent out 45* days prior to a dependent's birthday.
*Please reach out to our support staff if you'd like to change the number of days.
Editing and Configuring Your Triggered Emails
Select Triggered Emails from the sidebar of your Wix portal to begin.
Then select which triggered email you’d like to customize by selecting Edit next to the desired triggered email:
Party Rules Reminder
For the Party Rules Reminder Triggered Email, you'll want to include your rules and anything else you'd like your guests to have prior to a party. If you're using our Waivers or have your rules on your website, you can link the URL or a document to a button for convenience.
Select the button you'd like to attach your URL or Document to:
Select either Regular URL or Document in the Content section of the Customize button menu:
Then either enter the desired URL, or select your desired document, and then press Apply:
Feedback Request
To get the most out of the Feedback Request Triggered Email, it's strongly encouraged that you utilize the Standalone Forms within your Wix portal.
You can begin by selecting Forms & Submissions beneath the Communications section of the sidebar. Then select Create Standalone Form:
Select either the Feedback template or Start from scratch, then press Get Started:
Next, give your form a title. The title will be the form's name in your submission table. You’ll want to include a form description to let your visitors know about this form and what it’s for.
Whether you’re starting with the Feedback template or starting from scratch, here is where you’ll have the opportunity to customize your questions and designate which fields are required for submission.
If you’d like to add any additional fields you can do so by selecting Add Field near the bottom of the form.
You can also customize the Submit button text and the Thank you message.
Once you're satisfied with your form, go ahead and select Save.
Now that you’ve created a Standalone form you’re ready to attach it to your Feedback Request triggered email.
Select the button you'd like to attach your Standalone form to:
Select Standalone form in the Content section of the Customize button menu:
Select your Standalone form from the dropdown menu:
Then press Apply:
You'll be able to view your form responses by selecting the View Submissions Table in the Forms & Submissions page.
Upcoming Birthday Reminder
The Upcoming Birthday Reminder Triggered Email is a great way to reach out to customers that have dependents with upcoming birthdays, and what better way than to create a button that links directly to your Online Booking page.
Select the button you'd like to attach your URL to:
Select Regular URL in the Content section of the Customize button menu:
After you've entered your Online Booking page URL, go ahead and press Apply:
Publishing and activating your Triggered Emails
Note : Do not delete a Triggered Email, or change it's Email ID, once it's been activated. If you'd like to deactivate it please contact our support staff.
Once you're finished designing a Triggered Email, go ahead and select Save & Publish
Once your Email is successfully published select Got It:
* You will not need to adjust the Email ID, this will be adjusted by our support staff.
Now that you've Saved and Published your Triggered Email, please reach out to our support staff and let them know which one you'd like to activate.
Once it's been activated, you are still free to edit the email as you see fit, just bear in mind that you'll need to Save and Publish again it in order for your changes to go into effect.
Note : Do not delete a Triggered Email, or change it's Email ID, once it's been activated. If you'd like to deactivate it please contact our support staff.
